Writing a Speech

It's never easy writing a speech and this doesn't change whether it's a speech for a seminar, a speech for a class project, or whether it's a speech for a wedding. In fact, unless you're a paid speech writer, most people know they are going to be the person who has to get up in front of a crowd of people and deliver the speech that they wrote.

And this is really where most of us get into trouble. When we're writing a speech, we tend to think in terms of what we would like to say, how we would like to deliver the speech with style, and how we're going to give the best speech of our lives. In between panicking and worrying about delivering the speech of course.

This makes it almost impossible for us to write a speech that we can give naturally, and in a tone of voice that best suits us. For instance, most people will try very hard to introduce a joke or two when writing a speech, and this can be a good thing - unless you're the type of person who finds it abnormally hard to get the punch line to sound like a punch line.

This can, and has, happened before, and if you do this on a continual basis, don't worry - you're not the only person in the world who can't tell a joke when under pressure.

And that's what happens when you're delivering a speech. When you're writing a speech, you're under a different sort of pressure altogether. Here, at this point before you have to get up in front of a crowd of people and speak in a coherent manner, you need to get to your first goal, which is that of actually writing a speech.

Some people find this a laughably easy step and then freeze up when they have to deliver the speech, but for the most part, most of us find that writing a speech is just as difficult as delivering a speech. To be able to do the latter however, the former (writing a speech) is a very necessary part of the job - unless of course you can afford a speech writer to do the job for you.

If you're stuck doing the honors however, there are a few rules of thumb that you will want to follow, but only one main one. And that one is, be yourself. Be who you are, don't use big words if you don't normally do so, and don't try to be funny if you find this to be difficult in social circumstances.

And most of all when writing a speech, keep it to the point, informative and entertaining. You really don't want your audience to fall asleep on you for lack of substance in your speech!

The only augment about this is visitors would be leading to other sites since these articles would have resource boxes with writer's information, which could link or direct readers to their site instead of staying at yours.

That's why it is important to have your own articles; you cold use them to link your site to other sites as well.

Therefore if you want to truly feel the impact of what a good article to you, go for original ones. There are many article writers do part time and freelance article writing jobs that charges only minimal fees. So if you are new webmasters or starters that hate writing articles, then try above those methods. After time being, you probably won't have second thoughts about articles because you yourself will have more articles to write.

Business Writing Is Easy

To be a successful business writer, there are a number of important elements that you must be familiar with. Business writing is a very precise style of writing; it's all about clarity and precision. It is important not to be verbose or ambiguous in your business writing if you want to write an effective piece. Almost any piece of writing that pertains to a business can be called business writing. This includes brochures, business plans, emails, etc.

When people read business writings, they are not only looking for what happened and why, but how you are handling the situation at hand. A person reading a business piece that has an orderly and concise style with an active tone is going to feel more positive toward your company. Good writing gives assurance to clients that matters will be properly taken care of.

Business writing is generally backwards or upside down compared to other writings. You begin with the ending and then give a brief synopsis on how you got to that point. You may include other avenues that were considered and why they were not chosen.

Some Important Business Writing Tips

Organize your thoughts. The more organized you are, the quicker and easier it will be for you to put your words into a decisive and orderly style. Your writing should be grammatically correct along with the proper usage of capitalization and punctuation. Such errors can cause misinterpretations amongst readers and a general distrust of your attention to detail.

Have a positive slant. Even if you are conveying a message that has an outcome other than what is optimal, a positive air will bring a much better response. Tell your readers what good came about from the circumstance. Tell them what you can do with these results.

For example, a non-profit agency held a fundraiser. They were planning to bring in $25,000 for building repairs and play ground equipment. However, they only got $15,000. Positive tone writing would be "Our fundraiser was successful. We can now begin building repairs." Or "The new playground equipment will be delivered tomorrow due to our successful fundraiser." Even though it was not as much of a success as you would have liked, by keeping a positive attitude and showing people what can be done will promote a positive attitude in the future.

Contrast that with a negative toned message like "Since our fundraiser was not as successful as we had hoped, we will have to choose between playground equipment and building repairs." This approach could be unfavorable to future fundraisers because it seems as though you are unthankful for what you did get. Being positive shows your gratefulness for the hard work or donations that you have received.

And last but not least, it's important to use the active voice in your writing. A passive voice can make it seem like the author is unsure of what he is saying. Using an active voice will make the reader trust you because you seem sure. The active voice exerts authority, shows that you're in control and that you know the subject you're writing about.

How to Write Better Instruction Manuals

If you know how to do something -- and can do it well, almost without thinking -- it makes sense that you’d want to share this information. What better way to do it than with an instruction manual.

Writing an instruction manual may seem complicated and overwhelming, but it is easier than you think. The following tips will instruct you what to do and how to do it.

Before you can teach someone how to do something successfully, you need to conceptualize which aspects of the project they need to know. If your topic is complicated, such as how to play the piano, list each chapter and outline the points you need to make. If it’s simpler, such as the task of changing a tire, briefly jot down all the steps that come to mind. Don’t worry about the details or if you list the steps out of order; we will fix these things later.

The most logical way to start an instruction manual is to list the supplies the reader will need for the project. Be as exhaustive with this as possible; your students will thank you. If any of the supplies are expensive or difficult to find, list alternatives or stores that carry the item.

Instead of explaining the task in long paragraphs, break your instruction manual into specific, detailed steps. Give as much direction as possible; if one step requires slightly different tasks, create sub-steps. Think of these as an outline; number or letter the steps accordingly (and logically).

If your instruction manual details a tangible project, then complete it using only your written guide. Don’t improvise and don’t go on your prior knowledge. If it’s difficult for you to do this (subjectivity is sometimes next to impossible to ignore), ask a friend to use your manual to complete the project. Look carefully at the finished product; did it turn out as you’d envisioned? Did you miss something important? Continue to revise and describe until your written words encompass every step in the most detailed and effective way possible.

Writing an instruction manual is different from writing literary fiction; creative wordiness isn’t important here -- it’s clarity you’re after. Use short sentences and simple words. Make sure your manual is clear and readable; if the reader can’t understand what you’re saying, they won’t be able to complete your project.

How to Maintain the Quality and Quantity of Article Writing

This is a question almost all article writers for websites ask themselves at one point of their lives or another. As article writers, they are like machines that are churning out content at the rate of even about ten articles per day; but in the final reconnaissance, will they be counted as professional writers or not? Will their writing be deemed as something creative or will it be looked upon as a commonplace factory product?

Now this question is really a subject of debate and everyone has their own perspective on the issue. Most people would say there is no creativity in online article writing and it is merely a production of words. But it is necessary to know the intricacies of online article writing before framing any opinion.

Let us ask ourselves a question – what are online article writers trying to achieve through their work? The answer most certainly is, business for the website, either through an increased traffic or through actual online sales. Working towards this end is never simple. It is very difficult to sell something without a physical presence. This is what online article writers strive to do. They are not physically present there, only their articles are. And their articles have to be so superior that the person reading the article must buy the product that is displayed in conjunction with the article on the same website. Isn’t this a daunting task?

Definitely the article is a failure if the visitor turns back and does not make the purchase. Of course traffic would be generated, but no actual sales. The article would not have fully succeeded. Though the responsibility cannot be laid on the writer in its entirety, but there is always one nagging doubt in the mind of the website owner: ‘If only the articles on my site were better, I could have got better sales!’

Now, we are able to understand the full implication of the importance that article writers for websites all over the world have. Without good article writers, whole websites would fail. People use the Internet for getting information. Without good articles, these people would not be able to get the information they need.

Therein lies the creative satisfaction of the online article writer. This is a breed of writers who are not satisfied simply with their literary talents; their satisfaction comes when readers of their websites respond to their articles with message posts, or better still, buy the products and services the website is selling. When we think about the whole issue from this point of view, we realize that online article writers also must have several talents in order to make their articles a success. They are playing for indeed high stakes here! The future of the entire website could be in their hands, or rather in their typing fingers.

Even so, online article writers do try to satisfy their literary pursuits also. It is almost clich├ęd to tell that website articles need to be in a very simple language so that people from all walks of life can understand them. The article must be interesting enough to hold the appeal of the entire world population. Online article writers try to use a language which would not only be simple, but the flow of the language would also create reader interest. This is one of the hallmarks of a good Internet writer. The content on several articles could be the same, but what differentiates one from the other will be the style and the language used by the writer. This is where the creative satisfaction of the writer comes in. Each writer tries to write in a better manner than the other writers on the net. When the article really shapes out well, the writer gets his or her creative satisfaction.

One more challenge is to write several articles on the similar topics, and still make them look drastically different from the other. The articles must also not look one bit like the original articles they were sourced from. It is the writer’s work to make the article get a different identity through his or her language and ideas. Perhaps this is the greatest creative satisfaction the writer can get.

When all these points are taken into consideration, surely nobody would say anymore that online article writing is not creatively satisfying. This is the literature of the modern times, and the article writer may be no Shakespeare or Hemingway, but they do have their creativities in the right place.

Five Tips to Get Ideas for Great Writing

Ideas are power generators behind the success of any writer. Without a good idea an article always seems like a body without soul.

Your mind can produce ideas any time. If you don't write it immediately you may forget. Thus a pocket diary is extremely valuable for a writer. As soon as an idea of writing a good article flashes in your mind, write it. You will be able to produce great articles with this simple habit.

Habit of reading newspapers, magazines, books, and watching movies and television are as necessary for a writer as his meals. Without this mental diet a writer can't be creative enough to produce good and informative work. Good ideas suddenly spring up in your mind while reading or watching.

Writings of a writer reflect the vision and reality of the society. To make it clearer and more effective a writer must move in the society and talk to people on various aspects of life. It will provide a writer with valuable information.

Distraction is one of the villains in a writer's life that mars his creativeness as well as pace of production. Various things or happenings in life continuously distract the attention of a writer. To have a tight rein over distraction you need discipline and restraint. Always keep your table and chairin a peaceful corner.

Many writers write only when there is an inspiration. Sometimes they don't get inspiration even for years. Repercussions are dangerous. They rarely become great or highly loved writers. To become successful as a writer you need to work very hard in discipline. You will be surprised to know that even discipline can generate wonderful ideas time to time.

20 Top Tips To Writing Effective Surveys

Writing surveys is easy; or is it? The truth is that writing surveys is easy but writing effective surveys is more difficult. The following are twenty tips that if followed will help you write more effective surveys.

Writing surveys is easy; or is it? The truth is that writing surveys is easy but writing effective surveys is more difficult. The following are twenty tips that if followed will help you write more effective surveys.

1. What is the purpose of the survey?

Surveys are conducted for many reasons. By phrasing the questions and structuring the answers surveys can be used in a multitude of ways and for a variety of reasons. When compiling a survey don’t loose sight of its purpose.

2. Title the survey

The survey title is a golden opportunity to instantly summarise a survey's objective and grab the attention of invited respondents. Respondents are going to invest time in completing the survey so make them feel that their investment is worthwhile.

3. Do not make the survey any longer than it needs to be

Every question that is asked should be asked for a reason. Focus on ‘need to know’ questions and minimise ‘nice to know’ information.

4. Use plain English, avoid jargon and acronyms, maintain consistency and don’t ask questions that may result in ambiguous answers

Care must be taken in wording a question. If a question is not clear then there is every chance that respondents may interpret the question differently to that intended by the publisher making any analysis of the data meaningless or at the very least misleading.

5. Avoid long questions

Try to use short sentences wherever possible. Long questions tend to cause respondents discomfort and can lead to a higher level of incidents where respondents abandon a survey.

6. Ask one question at a time

Avoid confusing the respondent with a question like ‘Do you like football and tennis?’

7. Avoid influencing the answer

It is important not to load the question. ‘Should irresponsible shop keepers who sell tobacco to children be prosecuted?’ is unlikely to have any value.

8. Ensure that the answer format used allows the respondent to answer the question being asked

Allow the respondent to answer how they really feel or they may be less inclined to complete the survey. As a last resort consider the benefit of including a “Don’t know”, “Can’t say” or similar response option.

9. At the same time that you compile the survey consider, when the survey is complete, how the compiled data is going be analysed

If a question is asked that allows a free text open ended response appreciate that such information is likely to be difficult to score and/or summarised. Consider grouping answers. For example “How long have you worked here?” - ‘less than 1 year’, ‘between 1 and 3 years’ and ‘more than 3’.

10. Ensure that the questionnaire flows

When asking questions group the questions into clear categories as this makes the task of completing the survey easier for the participants.

11. Target your respondents

In some cases you will want to target a specific group, in others a cross section. If you can’t easily control the respondents consider including questions/answers that will allow you to filter out respondents who don’t fit your target profile.

12. Allow the respondent to expand or make comments

Allowing the respondent to make additional comments will increase their satisfaction level and will also give valuable feedback on the specific questions and/or the survey as a whole. Remember though for a large sample collection it may be difficult to analyse free text open ended responses.

13. If the survey you are conducting is to be confidential ensure that your pledge is upheld

If you have assured the respondents that the survey is confidential ensure that the individual data is not to be shared with anyone and the information is not going to be used for any other purpose. Confidentiality must be maintained at all times and any identifying information destroyed after the survey is complete.

14. Weigh up the benefits of allowing respondents to be anonymous or identifiable

If your respondents are to be anonymous then appreciate that you will be unable to follow up or match “pre” or “post” surveys. However in some cases allowing people to remain anonymous will allow people to respond without possible peer pressure.

15. Give careful consideration to the best response format

It is good practice to maintain a consistency in the format used for responses. Keep in mind that when analysing the data radio buttons are easier to analyse than check boxes that offer the respondent multiple responses. Do not use a check box if a radio response would do.

16. Give the respondent an idea of how much time the survey will take

Respondent drop out can occur if the survey appears to be a stream of never ending questions. It is good practice to give an indication as to how long the survey is likely to take so the respondents can choose the best time to complete the survey.

17. Inform the respondents of the survey end date

Encourage respondents to complete the survey as soon as possible but advice respondents as to the surveys end date so that they have the opportunity to schedule the necessary time.

18. Pilot the survey

Before publishing a live survey publish a small pilot survey to check for questions that are ambiguous or confusing and to ensure that the survey is aesthetically pleasing.

19. Before publishing the survey proof read the survey several times

Check and check again that the survey is grammatically correct and makes sense. If possible get someone else to proof read the survey before you publish, if no one else is available then take a break before checking again.

20. Remember to say thank you

To complete surveys respondents need to invest their time and should be thanked either in a covering letter, at the end of completing the survey or in a follow up letter. You may even want to consider incentives such as a prize draw or reward.

What Everybody Should Know about Freelance Writing

Many people find that they have a talent for writing articles or stories, but are not sure how to make money utilizing this skill. Fortunately in this age of Internet connections it is easier than ever to find ways of using your skills in the freelance market. The opening up of the international market also helps freelance writers to get the work they need.

There are several different types of freelance writers. Some of them write articles for books and magazines, while others write articles for Internet businesses. If someone has the proper credentials, the range of work can even extend to cover working as a ghostwriter on novels and ebooks.

But many people have problems finding these jobs, and that is where the Internet comes in handy. There are several sites that list freelance writing jobs. Two of these sites include GetAFreelancer and freelancewriting. These are all places writers can go to find out about getting work.

Places like Get A Freelancer (GAF) allow writers to place bids on different jobs that open up. This way the market is honestly open to anyone and everyone who can establish an account and bid on a job. To help keep everything running as smoothly as possible there are ways of ranking both the supplier of the job and the writer. The system works much the same way as the rankings on ebay work. This makes it more difficult for fraudulent people to either post jobs or get work, and it helps ensure that people will work in a timely fashion to meet their deadlines. Once a job gets accepted, then GAF takes a percentage of the pay as payment for the service that their website provides.

Freelancewriting is a website that is devoted to people who are trying to make their living as a freelance writer. It offers people the chance to meet others like them, get advice, and even find job postings through links and other services. Sites like this often come in handy for people who are just finding their way around the Internet and are trying to start up their freelance writing careers. As in any new career venture, it can come in handy to get the advice of others who have gone before you.

Being able to access these sites and bid on jobs is just one step of the process. It is also important that you have a firm grasp of English language and grammar usage. It is also important that you know what prices you should charge for what jobs and that you calculate any research that may be required for the writing into the price so that you don't spend too much time on an article that you are only getting paid two to three dollars for.

Stepping out into any new venture is often risky, and the same is true for freelance writing. However, if you know what you are aiming to accomplish, then it isn't difficult to find enough work to meet your goals. Just remember that the Internet is not only your friend, but it can also be your enemy. If you make too many people unhappy or cause too many problems, then the same type of networking that first got you the jobs could be your downfall if enough people get the word out that you are untrustworthy.

The Importance of Technical Writing Services

One common belief in the global software industry is that, if a program is well designed or well written, it won’t need any software documentation. But, as we often se this belief has been proved to be nothing more than hot air. Technical documentation is essential for the smooth functioning of a company. Technical Documentation Services comprises of all activities, means and systems that provide information on how to use a product. This information in turn enables the user to understand the functioning of the product and to handle, maintain, repair and dispose it correctly and safely.

Also, in the absence of good and clear documentation written, either by your own company or a technical writing service, your IT staff will end up spending more time dealing with trying to solve technical problems. And this in turn leads to more work and waste of a lot of time that could have been better utilized. And all businesses, large or small, need well-written technical documentation to operate efficiently. Therefore most companies hire technical documentation writing services, especially technical writing services of India, to make the whole process easier for them.

However, if end-users feel that the technical documentation is too hard to learn, not easy to use, or too cumbersome, then it will not be effective or useful. So, the importance of good technical documentation writing services in India shouldn’t be underestimated. A good technical writing service in India should make a product easy to understand and use, resulting in greater user acceptance.

Different companies outsource technical writing services to India for different purposes. Some companies that make products or software outsource technical writing services to India for technical manuals and user guides that’ll explain the how to properly use the product. For example, manuals for computer printers; fax machines, modems etc.

These are intended for both customers as well as internal use. Most of the time, technical guides and manuals written by technical writing services include quick reference guides that provide organized reference during the use of a hardware or software, software user guides providing instructions on how to use a software product, and hardware installation guides and repair guides that give information on the various features and functions of a hardware product as well as how to install, modify, maintain or repair the piece of hardware. Sometimes there are even user guides that supply instructions on how to use a hardware product and how to modify or program its hardware/software.

You can also use the technical documentation written by an offshore technical writing service as a marketing tool, to share valuable information and strengthen the lines of communication between IT and the end-users. However, effective technical documentation written by any technical writing service will take some time and effort, but in the long run, it’s worth it.
